How we look after your data

What we store about you, why we store it, and how to have it deleted again.

To keep track of classes, sign-ups and membership fees, we have to store a few details about our members. We store no more than we actually use, and we do not pass it on to anyone.

Who is responsible

Lyseng Taekwondo Klub, Gunnar Clausens Vej 19C, 8260 Viby J, is responsible for the data this site stores. If you have questions about any of it, ask someone from the board at training.

What we store

When you sign up as a member, we store:

  • Your name — so the instructors know who is in the class
  • Your email address — it is your username when you sign in
  • Your password — never as written, only as a hash that cannot be turned back into the password
  • Your phone number, if you enter one
  • Which classes you attend, and what you have signed up for
  • Your belt and your belt length, if an instructor has entered them — so the club knows your grade and which size of belt you need
  • When the account was created, and when you last signed in

If you add your children, we store the child’s name, year of birth and classes. A child needs neither an email address nor a password — they can be in a class without being able to sign in. If you choose to give the child their own login, we also store an email address and password hash for them. The year of birth is used to place the child in the right class, nothing else.

If your name, or your child’s, is already on the club’s check-in list, the page asks whether that is you when you sign up. If you answer yes, the account is joined to you on the list, so you do not appear twice, and your check-ins come with you. It is written to the list of corrections that the instructors can see, with the name and without your email. If you answer no, you are created as a new person.

If someone fails to sign in several times in a row, we store the email address and IP address for up to 24 hours. That is purely so we can slow down anyone guessing passwords.

Checking in to training

When someone checks in to training, we store who was there, at which training, and when. The club uses it to see how many times each person has trained (for gradings) and for the figures the club needs in order to receive grants.

Instructors can put a member on the check-in list, even if the member has no account. Then we store only the name and an age group, a number the treasurer uses in the figures. The age group is stored with each check-in, as it was that day. Guests, parents and trial members who check in without a name are only counted.

People check in on a screen on the wall of the dojang. It shows the names of those on the list, but only once an instructor has given it the training’s code, and only while the training is on.

Instructors and the board can see who has been to which training, and how many times. Anything an instructor changes afterwards is written to a list that cannot be edited on the website. The same goes for when a student takes a name off the list on the screen because it was the wrong one, while the training is on: it is written with the name, the time and that it was the screen. If a person is deleted, the name disappears from the check-ins, but the check-in itself stays without a name, so the number of people at an old training does not change. It is a number, not a person.

What we do not store

There is no tracking on this site — no Google Analytics, no Facebook pixel, no ad networks, no share buttons watching you. The site does not even load fonts or anything else from other servers. That is why there is no cookie banner: there is nothing to ask about.

We do not ask for national ID numbers, health information or payment details. Membership fees are paid outside this site.

What the site remembers in your browser

If you choose dark mode, that choice is saved in your own browser, so the site looks the same next time you visit. The language is part of the address and is not stored. Neither is sent to us, and we cannot see them. They sit on your machine and disappear if you clear your browser data.

Cookies

When you sign in, your browser gets one cookie. It contains a random key — not your name, not your email, not your password. It is there so you do not have to sign in again on every click, and it lasts 30 days. When you sign out it is deleted immediately. You cannot use the member pages without it, but the rest of the site works fine without.

The screen on the wall, where people check in to training, uses a second cookie. It remembers the code for the training that is on, and contains no information about anyone. It lasts up to 12 hours and is cleared by itself when the training is over.

Who can see it

  • You can see and edit your own details under My page, and see the belt and belt length an instructor has set for you
  • Instructors can see names and classes, so they know who is coming to training, and how many times each person has been. They also choose the belt and the belt length
  • The board can also see email addresses and phone numbers, and help with a forgotten password
  • If you are a guardian, you can see and sign up your own children and see their belt — and only your own

Nobody else. We do not sell data, and we do not pass it to other clubs or companies.

Where it is kept

The website and the database run at Cloudflare, who store it on our behalf. They are not allowed to use the data for anything of their own. It sits on servers in Europe.

How long we keep it

For as long as you are a member — and for a while afterwards, if you forget to tell us. If you ask to be deleted, it is done straight away. Sign-ups for past events belong to your account and disappear with it.

You can always have it deleted

At the bottom of My page there is a button that deletes your account. It removes your name, your email, your phone number, your classes and your sign-ups — and if you have added children, they are deleted along with you. It cannot be undone, and you have to confirm first.

You can also ask someone from the board to do it, or to tell you exactly what we hold about you. You are entitled to both. That goes for people who are only on the check-in list and have no account, too.

If you do not think we are handling it properly, you can complain to the Danish Data Protection Agency, datatilsynet.dk.

Photographs

We do not put photographs of members on the site without permission. If you are in a photo you would rather not have online, say so and we will take it down. That applies to children too, where it is the guardian who decides.
